1. Introduction
Apex ("we," "our," or "the app") is an AI-powered student life optimizer for iOS, developed by Apex Student. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.
By creating an account or using Apex, you agree to the practices described in this policy.
2. Information We Collect
Account Information
When you create an account, we collect your first name, last name, email address, and date of birth. This is used to identify your account and personalize your experience.
Calendar and Schedule Data
We collect events you create or import — including titles, dates, times, categories, and priorities. This data is stored in our database and used to power your schedule, AI suggestions, and study planning.
Course and Academic Data
When you add courses or import a syllabus, we collect course titles, class schedules, assignment deadlines, professor names, office hours, and course goals. Syllabus documents you upload are sent to OpenAI for text extraction only and are not retained by OpenAI beyond the API request.
Conversation History
Your chat messages with Apex are stored to provide conversational context across sessions. We retain a rolling history of your most recent messages. Older messages are automatically deleted on a periodic basis.
AI Memory
Apex builds a concise summary of durable facts you share — habits, preferences, goals, and schedule patterns — to make future conversations more relevant. You can view and delete this memory at any time inside the app under Settings → "What Apex Knows."
Productivity and Efficiency Data
We collect feedback you provide (or that is inferred from your usage) about your productivity at specific hours and days of the week. This data is stored on your device and backed up to our servers so it persists across reinstalls.
Grade and Academic Performance Data
If you use the GPA Tracker, we collect grade entries you input — including assignment titles, categories, weights, scores, and credit hours per course. This data is stored in our database and used solely to calculate your grades and GPA within the app.
Daily Wellness Survey
Apex includes an optional daily check-in where you can log your energy level, mood, and stress. These responses are stored in our database and used to generate your "body battery" score, inform AI suggestions, and build your efficiency profile. You are never required to complete these surveys.
Game and Streak Data
Your streak count, Apex Points balance, owned mascots, and completed event history are stored locally and backed up to our servers.
3. Health Data
With your explicit permission, Apex can read sleep data from Apple HealthKit. This data is used only to automatically pre-fill your daily body battery score — it is never uploaded to our servers, shared with third parties, or used for any purpose other than this in-app feature.
Apex requests read-only access to HealthKit. We do not write any data to HealthKit. You can revoke this permission at any time in iOS Settings → Privacy & Security → Health → Apex.
4. How We Use Your Information
- To operate and personalize the app experience
- To generate AI responses via OpenAI's API
- To schedule study blocks optimized around your peak productivity hours
- To back up your data so it survives device changes or reinstalls
- To send push notifications about upcoming events and streak reminders (only if you grant permission)
- To improve our service over time
5. Third-Party Services
Apex relies on the following third-party services to function. Each has its own privacy policy linked below.

6. Data Storage & Security
Your data is stored on Supabase servers with encryption in transit (TLS) and at rest. Row-level security policies ensure your data is only accessible to your own account.
We do not have access to your password. Authentication is handled securely through Supabase Auth and, where applicable, Sign in with Apple.
7. Data Retention
- Account data is retained until you delete your account.
- Conversation history is automatically trimmed to the most recent 100 messages per user.
- Calendar events older than approximately 60 days may be summarized into your AI memory and then deleted to preserve storage efficiency.
- You can request full deletion at any time by using the Delete Account option in Settings, or by contacting us directly.
8. Your Rights
You can, at any time:
- View and edit your profile in Settings
- View and clear Apex's AI memory in Settings → "What Apex Knows"
- Delete your account and all associated data via Settings → Delete Account

If you are located in the European Economic Area (EEA) or United Kingdom, you have additional rights under GDPR, including the right to access, rectify, or erase your personal data. Contact us to exercise these rights.
9. Children's Privacy
Apex is intended for users 13 years of age and older. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us immediately and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the app or by email to the address associated with your account. The date at the top of this page reflects when the policy was last revised. Continued use of Apex after changes constitutes acceptance of the updated policy.
